This Privacy Policy describes how Ridgecrest Medical Transportation ("we," "us," or "our") collects, uses, and handles information when you use the RMT Driver App (the "App"). This App is intended solely for use by authorized employees and contractors of Ridgecrest Medical Transportation.

1. Information We Collect

The App collects only the information you directly provide when using its features:

• Name - entered at login and used to identify form submissions.
• Email address - optionally provided to receive a copy of submitted forms such as the Driver Checklist.
• Photos - images you capture or select when submitting receipts or reporting vehicle damage.
• Form data - information entered into forms including vehicle details, odometer readings, trip information, time-off requests, and damage descriptions.

The App does not collect your location, track your device, serve advertisements, or share any data with third parties for marketing purposes.

2. How We Use Your Information

All information collected by the App is used exclusively for internal business operations:

• Routing form submissions to the appropriate department within Ridgecrest Medical Transportation.
• Maintaining records of pre- and post-trip vehicle inspections.
• Processing time-off requests and expense receipts.
• Documenting vehicle damage reports.

We do not sell, rent, trade, or otherwise transfer your information to any outside parties.

3. How Your Information Is Transmitted

When you submit a form, the data is transmitted securely over HTTPS to our email delivery service (SendGrid) and delivered to the designated internal email address for that form type. Photos are encoded and transmitted as email attachments. We do not store your form submissions on any external server beyond what is necessary to deliver the email.

4. Data Stored on Your Device

The App stores the following data locally on your device:

• Your name - saved to auto-fill forms.
• Login state - so you do not need to re-enter your passcode on every launch.
• Draft form data - automatically saved as you fill out forms, so progress is not lost if the App is closed unexpectedly. Drafts are cleared after a successful submission.
• Queued submissions - if a submission fails due to no internet connection, it is stored locally and retried automatically when connectivity is restored.

This data is stored only on your device and is not accessible to anyone outside of it.

5. Camera and Photo Access

The App requests access to your device camera and photo library only when you choose to attach a photo to a receipt upload or damage report. You will be prompted to grant this permission the first time you use these features. You may deny or revoke camera access at any time through your device settings, though doing so will prevent photo attachment functionality from working.

6. Data Retention

We retain submitted form data in accordance with Ridgecrest Medical Transportation's internal records retention policies. If you would like information about how specific records are retained or request deletion of your data, please contact us using the information below.

7. Security

All data transmitted by the App is encrypted using HTTPS. Access to the App is restricted by a passcode. We take reasonable technical measures to protect information against unauthorized access, alteration, or disclosure. However, no method of transmission over the internet is 100% secure.

8. Children's Privacy

This App is intended for use by adult employees and contractors only. We do not knowingly collect information from anyone under the age of 18.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be reflected by an updated "Last updated" date at the top of this page. Continued use of the App after changes are posted constitutes your acceptance of the revised policy.
